VENDOR RULES & REGULATIONS

  1. APPLICATION PROCESS:  Submission of this application does not guarantee acceptance.  Applicants must submit their application online.  If your application is not approved, your payment will not be processed and will be returned to you.  If you have been accepted as a vendor, NO REFUNDS will be issued for any reason. Please be sure to submit your application as soon as possible.  A confirmation will be sent via email.

  2. ARTS & CRAFT APPLICATION:  We reserve the right to remove any work that has not been screened, is of poor quality, inappropriate or deem to be manufactured commercially.  Our goal is to provide an experience of great quality for the vendor and to the public.  Vendors selling similar items will be limited to avoid duplication.

  3. FOOD:  Food is any item (food, drink, baked goods, candy, etc.) whether packaged or unpackaged that can be consumed on site.  Only authorized vendors may sell food.  Others will be shut down. **PLANT BASED OPTIONS ONLY**

  4. DEMONSTRATIONS:  We highly encourage you to demonstrate your craft during the festival.

  5. ELECTRICITY:  Electrical access is available for vendors inside.  Generators are allowed for outdoor vendors.

  6. LOCATION & DATES:  The fair will be located at Johnson C. Smith University in Charlotte, NC.  The hours are set from 10:00AM to 8:00PM on Saturday, October 18, 2025.  Vendors must bring all necessary displays, tables, chairs, etc.  No structures are provided, no tents unless you are approved as an outside vendor.  This event continues rain or shine, provided the weather does not present any safety issues.  

  7. SPACE ASSIGNMENTS:  All approved vendors will be assigned a space in advance.  Staff will be on hand to assist with any questions you may have.  If you need more than the allotted 6x6 space for display, you may purchase another space.

  8. *DRESS CODE: We encourage attire that reflects culture, the spirit of health, wellness, and community. TMWWF reserves the right to request a change of attire if deemed inappropriate.

  9. *PHOTO & VIDEO CONSENT: By participating as a vendor, you grant The Melanated Wholistic Wellness Foundation (TMWWF) permission to photograph and/or video record your booth and likeness for promotional and archival purposes. If you prefer not to be photographed individually, group and general event photography will still occur.

  10. SET UP:  Between the hours of 8:00AM to 9:30AM on Saturday, October 18, 2025─ you are to set up your space.  If you arrive late, your space may not be available.  Please be advised we have enforced a very strict tardy policy. YOU MUST BE FULLY SET UP BY 9:15AM. YOU WILL NOT BE ABLE TO SET UP THEREAFTER AND YOUR VENDOR FEES WILL BE FOREFITTED.YOU WILL NEED TO MOVE YOUR VEHICLE TO BIDDLE PARKING LOT. THE PARKING LOT DIRECTLY ACROSS FROM THE NEW SCIENCE CENTER IS FOR ATTENDEES ONLY.  Please unload your vehicle and immediately park your vehicle in the designated vendor parking area, then return to your vendor space to complete your set up.

  11. CLEAN UP:  You are expected to leave the area you occupy as you found it prior to set up.  Please dispose of your trash in the provided trash cans.

  12. BREAK DOWN:  All vendors are expected to be on site during all hours of the fair.  Booths may not be dismantled until the festival ends at 8:00PM (if you need to leave before that time, please speak with staff on site).

  13. NOTICE:  The TMWWF Committee reserves the right to ACCEPT or REJECT any application.  We also reserve the right to remove any vendor that does not follow the rules and regulations as established for this event.

  14. TAXES/LICENSES:  As the vendor, you are responsible for collecting and reporting NC sales tax and hospitality fees as required by law.

  15. NO SHOWS:  Vendors accepted into the festival who fail to participate without giving a 48-hour written notice MAY NOT be eligible to participate in future shows promoted by TMWWF.

VEGGIES N' FRIEND VENDOR RULES

  1. The hours are set from 6:00PM to 9:00PM on Saturday, August 9, 2025.  Vendors must bring all necessary displays, tables, chairs, etc.  No structures are provided, no tents unless you are approved as an outside vendor.  This event continues rain or shine, provided the weather does not present any safety issues.

ALIGN, ONLINE BUSINESS SUPPORT TERMS

Once the details of your request have been determined through an in-person or phone consultation, you will receive an invoice for the total due to begin your project. Businesses and individuals are required to pay upfront before services are rendered for that month.

Website projects are typically completed within 4 weeks. Additional requests made after a project has started may delay the estimated completion date listed on your invoice. Website projects include 3 revisions. Any revisions beyond that are subject to additional invoiced hours. Remaining balance is billed at $68/hour. Weekly or monthly updates, time logs, and content reports can be provided upon request. Travel fees are determined by distance. Payments are non-refundable unless otherwise stated by TMWWF.

Monthly Maintenance Monthly Maintenance includes general content monitoring and formatting updates recommended by TMWWF. You are granted one update request per month, including:

  • Image updates

  • Description/information updates

  • Sales/specials details added to pages

  • New site page

  • Layout update

  • Mobile theme

  • New theme

Additional requests may be invoiced separately.

Late Payments & Buyout Option Late payments incur a 10% fee after the 5th day, and 5% each additional day. Non-payment may result in forfeiting content, with a buyback option priced at TMWWF’s discretion. This service renews annually. Renewal invoices will be sent after the first 12 months.

SEO (Search Engine Optimization) SEO results can take up to 6 months based on site age, competition, backlinks, and more. Google may take up to 3 weeks to reposition listings. We set up your SEO and help guide your ongoing strategy.

We use tools like Google Console and Google Analytics. TMWWF is certified in Advanced Google Analytics to measure and optimize performance.

Please note: There are no guaranteed rankings or results. SEO is ongoing work that includes content creation and keyword use. Initial SEO setup takes 4 weeks. Clients receive guidance to continue SEO or can opt for monthly SEO services starting at $499.

Social Media Management By opting in, TMWWF requires full creative control. Access is limited to our team for tracking. Planning and ad spend will be discussed with the client. Ad spend is separate from labor hours. Posting resumes in the next billing cycle once hours are exhausted. Payments are tailored weekly, biweekly, or monthly.

The Project Initiation Fee includes a custom social media plan and a 90-minute strategy session. We provide up to 8 hours monthly for standard ad management.

Page likes, engagement, and conversions are estimates. We do not guarantee results, but we bring proven strategy and tools. Daily logs are available upon request and billed accordingly.

Facebook may restrict advertising for policy issues, which may delay ads. TMWWF will help navigate support but is not liable for Facebook delays. Ads will be paused and funds reallocated as needed.

Late payments incur a 10% fee per week. Non-payment may result in forfeiting content, with a buyback option.

Elite Ads Management requires 15–40 hours monthly. A weekly ad spend budget of $200+ is recommended.

Website Design and Revamp Websites are restricted to the designer until completed. TMWWF treats all projects as confidential. We reserve the right to terminate work at any time. All payments are non-refundable.

Hosting platforms are chosen by TMWWF. Revamps use the client's existing hosting platform. Clients receive full instructions on relaunching and managing their site post-completion.

Specials & Promotions Website specials cover design only. After completion, the site is transferred to you. You are responsible for domain, hosting, and payments. Instructions will be provided.

Promotional Materials Logos, flyers, graphics, brochures, and social posts require full payment to begin. Includes 2 revisions (1 for promos). Additional revisions are $25 or require a new consultation.

Copywriting Submit your inquiry with platform details and request. We confirm and estimate your project. After outline approval, the first draft will be sent for feedback. Extra revisions cost $25 per request.

By accepting a quote, you agree to these terms and conditions. Acceptance may be verbal, via email, through payment, or by signature. TMWWF is not responsible for your business outcomes based on services or advice provided.

We may update these Terms at our discretion. Your continued use of our services constitutes your acceptance of any revised Terms. Please check this page for updates.
